How to Auto-Populate Customer Email Addresses When Sending Documents

When emailing documents (such as sales orders or invoices) directly from Datapel WMS, you may notice that typing an email address into the Contact Email field on an individual sales order does not automatically fill the recipient To field in the outbound email window.

This article explains how email fields function in Datapel WMS and provides a step-by-step guide to updating your customer records so email addresses populate automatically every time.

Important Note: The Contact Email field entered directly on a sales order is designed specifically for display on the printed or PDF invoice slip. It does not populate the outbound To email address field.

Outbound document emails pull their primary recipient address directly from the replicated Customer Card.

Instructions to Auto-Populate Customer Email Addresses

To ensure customer email addresses automatically populate in the To field when sending documents, follow these three steps:

• Step 1: Update the customer's email address in MYOB

• Step 2: Locate the customer in Datapel WMS

• Step 3: Replicate the customer card in Datapel WMS

Step 1: Update the customer's email address in MYOB

1. Open your MYOB accounting system.

2. Open the Customer Card for the specific customer.

3. Enter or update the primary email address in the customer's contact details.

4. Save your changes on the card in MYOB.

Step 2: Locate the customer in Datapel WMS

1. Log into Datapel WMS.

2. From the top navigation menu, select Tools > Find Contact.

3. Search for and select the customer record you wish to update.

Step 3: Replicate the customer card in Datapel WMS

1. With the customer record open, locate the Replicate Card button in the bottom-left corner of the window.

2. Click Replicate Card to pull the updated email address from MYOB into Datapel WMS.

3. Once the sync finishes, save and close the window.

Success: The customer's primary email address is now updated in Datapel WMS. The To field will automatically populate whenever you email sales orders or invoices for this customer.
