Introduction
To ensure seamless integration between Datapel WMS and Xero, contacts must be organized into specific "Groups" within Xero. This allows the WMS to identify which contacts to pull during a data sync. This guide explains how to assign contacts to the correct groups and trigger a replication to keep your records consistent across both platforms.
Important Note: To successfully sync, you must use the exact group naming conventions (e.g., "Datapel Customers") so the systems can communicate correctly.
Instructions to Sync Xero Contacts
Step 1: Organize Contacts in Xero Before running a sync, your contacts in Xero must be categorized so Datapel knows how to import them.
Log in to your Xero account.
Navigate to Contacts and select the specific contact card (Customer, Supplier, or User) you wish to sync.
Ensure all required fields (Name, Email, Address, etc.) are populated to avoid sync errors.
Click the three dots (...) in the top right corner of the contact record.
Select Manage Groups.
Assign the contact to the appropriate group based on their role:
For Customers: Assign to
Datapel CustomersFor Suppliers: Assign to
Datapel SuppliersFor Internal Users: Assign to
Datapel Users
Note: If the group does not exist yet, click New Group and create it using the exact names listed above.
Step 2: Perform Detailed Replication in Datapel Once your contacts are grouped in Xero, you need to "push" that information into Datapel WMS.
Open your Datapel WMS application.
Navigate to the Replication menu.
Select Detailed Replication.
Run the process to synchronize the newly categorized Xero contacts into your WMS database.

Troubleshooting: If a contact is not appearing after sync, double-check that the Group name in Xero matches the Datapel requirements exactly.
