Introduction
Datapel WMS allows you to streamline your communication by creating standardized email templates. This guide explains how to access your email settings to customize the body of your emails, add a company logo, and ensure specific stakeholders are always copied via the BCC (Blind Carbon Copy) field.
Instructions to Customize Email Templates
Step 1: Access System Preferences
To begin, you need to navigate to the global settings of your WMS.
Log in to your Datapel WMS desktop application.
In the upper right-hand corner of the main dashboard, click Options.
Select Preferences from the dropdown menu.
Step 2: Open Email Account Settings
Once in the Preferences window, you will manage your outbound communication templates.
Ensure you are on the General tab (this is usually the default tab).
Scroll down to the section labeled Email Account Settings.
Click the blue link on the right side labeled: "Manage My Email Templates and Signatures..."
Step 3: Configure Template and BCC Fields
In the Email Template editor, you can define how your automated emails look and who receives them.
At the bottom of the window, locate the template dropdown and choose "Default Workspace Template" to use as your starting point.
Customize the Body: Use the editor to add your company logo, images, or standard "Thank You" text.
Enable BCC: On the right side of the CC field, click Show BCC.
Enter Address: Input the email addresses you wish to include in the BCC field. (Note: You can also click Show From if you need to specify a different "sent from" address).
Step 4: Save and Apply Your Changes
To keep these changes for future use, select "Add Template".
Provide a descriptive Name for your template (e.g., "Sales Order Confirmation with BCC") and select OK.
The next time you email an attachment (like an Invoice or Picking Slip), you can select your newly created template from the dropdown list in the email preview window.
[!IMPORTANT] Why use BCC? > Using the BCC field is an excellent way to keep an internal record of sent documents in your own inbox without cluttering the "To" field for your customers.
